We will hold our inaugural election on Wednesday, Dec. 3, 2025, during our monthly membership meeting for the offices of President, Vice President, Secretary, Treasurer and Parliamentarian. The officers will serve two-year terms on the Executive Board starting in January 2026. Duties of each officer are outlined below. 

KEY POINTS:
  • You must be a member of both NABJ-Philadelphia and NABJ to run for office. Only full members can run for president and vice president. Associate members (as well as full members) can run for secretary, treasurer and parliamentarian. Students and general members are not eligible to hold office.
  • You must be a member of NABJ-Philadelphia as of Oct. 1, 2025, to make a nomination or vote in the election.
  • You can vote in-person and via Zoom during our meeting on Dec. 3, 2025, or by email and snail mail beforehand.

NOMINATIONS – Wednesday, Oct. 8, 2025, 6:30 p.m.
Nominations must be made in person or via Zoom at our monthly membership meeting. The nominee must be present in person or via Zoom to accept the nomination. Nominees must be a member of both NABJ-Philadelphia and NABJ. Only full members can run for president and vice president. Associate members (as well as full members) can run for secretary, treasurer and parliamentarian. Students and general members are not eligible to hold office or vote. (NOTE: Our October membership meeting will be held one week later.)

NABJ-PHILADELPHIA ELECTION – Wednesday, Dec. 3, 2025, 7 to 8 p.m.
Voting can be done in person or via Zoom at our monthly membership meeting. Members who have not voted by email or snail mail may vote in person. Rules for voting by email and snail mail are outlined below. All in-person, email and snail-mail votes will be tallied by the Election Committee and the winners announced after the vote count is completed.

DEADLINES FOR EMAIL BALLOTS 

Email ballots must be requested in writing from the Election Committee no later than Tuesday, Nov. 19, 2025. Send requests to: [email protected]. In subject field, write ATTENTION ELECTION COMMITTEE.

Email ballots will be accepted until 5 pm Wednesday, Dec. 3, 2025, the day of the election.


DEADLINES FOR SNAIL-MAIL BALLOTS 

Snail-mail ballots must be requested in writing from the Election Committee no later than Tuesday, Nov. 19, 2025. Send request via email to [email protected] (with ATTENTION ELECTION COMMITTEE in subject field) or by snail mail to:

Snail-mail ballots will be accepted with a postmark no later than Wednesday, Nov. 26, 2025.


NOTE: You can vote using only one of these methods: email, snail mail or in person. The bylaws do not allow for proxy voting.

DUTIES OF EACH MEMBER OF THE BOARD

PRESIDENT

The president or his/her designate shall preside over all meetings of the NABJ-Philadelphia membership and the Executive Board, and shall have the responsibility to ensure that all decisions of the Executive Board and membership are carried out. 

The president shall prepare an agenda for every NABJ-Philadelphia meeting. The president, or designated vice president in the president’s absence, shall act as the organization’s official spokesperson. The president must be bonded upon taking office by a certified bonding firm.

VICE PRESIDENT 

The vice president shall act in the president’s stead when the president is unable to perform his or her duties. The vice president shall oversee committee operations.        

 SECRETARY

The secretary shall have the responsibility of keeping minutes of all NABJ-Philadelphia membership and Executive Board meetings, and ensure a proper file is maintained of all NABJ-Philadelphia membership lists, correspondences and actions taken by the membership and the Executive Board.

The secretary shall also be responsible for making sure that all regular meeting notices are sent out ten (10) working days prior to every NABJ-Philadelphia meeting and Executive Board meeting. A deputy secretary who is a member in good standing may be appointed by the president.

PARLIAMENTARIAN

The parliamentarian shall be the chief interpreter of Robert’s Rules of Order and the NABJ-Philadelphia governance documents, and shall serve as sergeant-at-arms during monthly meetings and at Executive Board meetings when needed.

 The parliamentarian shall serve as chairperson of the Elections Committee. If the parliamentarian is seeking elected office, the president shall appoint an Elections Committee chairperson. 

 The parliamentarian shall serve as chairperson of the Bylaws Committee.       

TREASURER

The treasurer shall have the responsibility of maintaining a complete financial record of all monies received and/or expended by NABJ-Philadelphia. The treasurer must be bonded upon taking office by a certified bonding firm. No checks will be issued without the signature of the treasurer and president. The treasurer shall also have the responsibility of making sure members’ dues are up to date.

 The treasurer shall make monthly financial statements to the membership showing the disposition of NABJ-Philadelphia monies, ensure that scholarship funds are maintained separate from the general fund, and that all funds are invested to earn the maximum benefit to the organization. 

The treasurer shall notify members whose dues or other outstanding obligations to the organization have not been paid that they cannot participate in any NABJ-Philadelphia deliberations or vote on membership issues, pending full payment of the dues. 

 

The treasurer shall provide financial records to members if requested. The treasurer shall file appropriate tax documents for NABJ-Philadelphia and make them available if requested by membership.

The treasurer shall serve as chairperson of the Finance/Fundraising Committee.

The Executive Board may appoint an assistant treasurer to assist the treasurer with the performance of aforementioned duties.

A financial review of the accounts of NABJ-Philadelphia shall be performed annually in the manner provided by the Executive Board, and a financial statement shall be prepared and presented to the members annually in February.
